Member Portal FAQs

• Why can’t I register for the secure member portal?

  If you are a newly hired employee

  Your information may not be in our system yet.

  We will connect with you directly as soon as your information is available in our system:

  • If your email address was provided, we will send you an email inviting you to register for the secure member portal, where you can enrol for your HEB Plans. 
  • If we don't have an email address for you, we will mail you a paper package.

  
  

  If you are an existing member

  Check your postal code.

  • Is it entered correctly? Make sure that you add a space between the first three characters and the next three characters. If the postal code you enter doesn’t match what we have on file, the system won’t recognize you.
  • If you are still not able to register, contact us for assistance.

• I already had a Username and Password from the old HEB portal. Can I use them for the new secure member portal?

   

  No. All members must register for the new secure member portal before using it for the first time.

• How do I log in to the secure member portal?

  
  

  1. Click the Member Login button at the top of any page of our website to open the member portal login screen.
  2. Enter your User Name and Password.
  3. Click the Login button.
     

  If you receive an email from us telling you there is information waiting for you in the member portal, you can also get to the login screen by clicking the hyperlink in the email.

  If you haven't registered for the secure member portal yet you will have to do that first. 

• Why didn’t I get an enrolment email yet?

   

  We might not have received an email address for you. In this case, we will mail you a paper enrolment package.

  Your employer may not have reported your hire into our system yet. Check again in a day or two.

  It might have gone to your spam or junk folder.

  If you cannot find an email from HEB Manitoba in your inbox, spam or junk folder, you should still be able to register for the secure member portal one your employer has sent us your hiring information.

  You will not be able to register if your information is not in our system yet, or if the information you enter does not match what is on file.

• What do I do if I forgot my User Name?

  Click on Forgot User Name? on the member portal login page and enter your email address on file.

  Check your inbox for your reminder message from us.

• What do I do if I forgot my Password?

  Enter your user name and then click Forgot Password? on the member portal login page.

  You’ll be prompted to answer the three security questions you selected when you registered. After you answer the questions successfully, we will email you a link to reset your password.

  If you cannot answer these questions, please contact us for assistance.
  

• How do I change my Password?

  1. Log into the member portal.
  2. Click on your initials in the top right corner and select Change Password from the dropdown list.
  3. Follow the prompts.

• Change my contact information (mailing address, email and/or phone number)

   

  To change your mailing address, email, or phone number, log in to the secure member portal and select My Profile.

  To change your email address or phone numbers, click on the Personal Information tab.

  

  
  

  To change your mailing address, select the Address tab.

  Then click the Change Mailing Address button. This will open a pop-up window where you can change your mailing address.

  

  
  

  Start typing your address in the space provided and select your address from the list.

  

  If you cannot access the secure member portal, you may complete the Contact Information Change Form and return it to us by postal mail.

  Remember, you will still need to update your contact information with your employer separately.

• Add my new spouse

  Report the marriage as a Life Event in the secure member portal.

  As you walk through the process, the system will automatically update your coverage and let you know about any options available to you.

  If you cannot access the secure member portal, please contact us.

• Add my new common-law partner

  Report the date of cohabitation as a Life Event in the member portal.

  As you walk through the process, the system will automatically update your coverage and let you know about any options available to you.

  If you cannot access the member portal, please contact us.

  A new common-law partner is eligible for coverage after you have lived together for one year, provided you report the relationship within 60 days of the date of cohabitation.

  If you report the relationship more than 60 days after the date of cohabitation, your new common-law partner will not be eligible for coverage until one year after the date you report the relationship.

• Add a dependent child

  Report the addition of a new child as a Life Event in the secure member portal.

  As you walk through the process, the system will automatically update your coverage and let you know about any options available to you.

  If you cannot access the secure member portal, please contact us.

• Report a separation or divorce

   

  Report the separation from your spouse or common-law partner as a Life Event in the secure member portal.

  As you walk through the process, the system will remove your former spouse/partner from your coverage and let you know of any options available to you.

  If you cannot access the secure member portal, please contact us.

  If you are a member of the Pension Plan, your former spouse/partner may be entitled to a portion of your pension.

  Reporting your separation will trigger our system to send you information about steps you might need to take regarding the possible division of your pension.

• Report the death of a spouse/common-law partner or dependent child

   

  To report the death of a spouse, common-law partner or dependent child, please contact us directly so we may help you navigate this difficult time.

• Check who is listed as my Pension Plan beneficiary

  1. Log in to the member portal.
  2. From the dashboard, click the Pension Plan tile.
  3. Look under the Beneficiaries tab.
  4. If your beneficiary shows as pending it means we have not yet received your signed Beneficiary Declaration form. (We must receive a signed form to confirm your beneficiary)

• Change my Pension Plan beneficiary

  Married or common-law

  If you want to change your Pension Plan beneficiary because you got married, entered a common-law relationship, or have separated/divorced, please report the change in relationship status as a Life Event.

  If you prefer a paper form or cannot access the member portal, please contact us.

  If your spouse or common-law partner has passed away, please contact us directly so we may help you navigate this difficult time.

  i If you are married or in a common-law relationship, your spouse or common-law partner is automatically your Pension Plan beneficiary unless they formally waive (give up) their rights.

  Contact us if you want more information about this option.

  Single

  If you are currently single you may change your Pension Plan beneficiary at any time.

  1. Log in to the member portal.
  2. From the dashboard, click the Pension Plan tile.
  3. Under the Beneficiaries tab, click the orange Start New Beneficiary Declaration button and fill in the information. You may keep adding new beneficiaries until you are done.
  4. When you have entered all your beneficiaries, click the orange Submit Declaration button.

  THERE’S STILL ONE MORE IMPORTANT STEP!

  You will receive a Pension Plan Beneficiary Declaration form in the mail. Confirm the information is correct, sign it in ink and mail it back to us.

  Your last beneficiary on file (or your estate) will continue to be your Pension Plan beneficiary until we receive the NEW signed Beneficiary Declaration.

• See when I become eligible for my Pension

  1. Log in to the member portal.
  2. From the dashboard, click the Pension Plan tile.
  3. Under the Key Dates column, you will see your earliest reduced and unreduced dates, Rule of 80 and Normal Retirement date.

• Use the Pension Estimator

   

  To use the Pension Estimator, first register for the new member portal. Then:

  • Log in to the member portal.
  • Click the Pension Plan tile on the dashboard.
  • Click the Pension Estimator link and follow the prompts. 

• Request a Pension Application package

  To request a Pension Application package through the member portal:

  1. Log in to the member portal.
  2. From the dashboard, click the Pension Plan tile.
  3. Click the Request Pension Package tab and review the information about choosing a retirement date.
  4. When you are ready, click the orange Request Pension Application Package button. Your Pension Application package will be delivered through the member portal and may be completed online.

  If you prefer a paper package or cannot access the member portal, please contact us.

  When requesting your Pension Application package, please be prepared to provide your last day on payroll.

• Request a Service Purchase calculation

  Complete a Pension Service Purchase Application and send it to us.

• Check to see how much Life Insurance coverage I have

   

  1. Log in to the secure member portal.
  2. From the dashboard, click the Life Insurance Plan tile. You will see the Basic unit of Life Insurance provided by your employer as well as any additional personal or family coverage you have purchased.

• Change my Life Insurance coverage (Active Member)

  REDUCE OR CANCEL

  You can REDUCE your Life Insurance coverage at any time.

  1. Log in to the secure member portal.
  2. From the dashboard, click the Life Insurance Plan tile.
  3. Click on the blue Change Coverage button.
  4. Make the applicable changes.
  5. The system will automatically calculate your new premium amount.

  INCREASE

  You will need to provide Evidence of Insurability to INCREASE your coverage, unless you make the change within 60 days of a recognized Life Event.

  Under the Life Insurance Plan, recognized Life Events include:

  • Marriage or date of cohabitation of a common-law relationship
  • Marriage break-up or end of a common-law relationship
  • Acquiring a dependent child or enrolment of a previously ineligible dependant in a recognized educational institution
  • Death of a spouse/common-law partner

  The secure member portal will automatically ask you about updates to your Life Insurance coverage when you report the Life Event.

• Change my Post-Retirement Life Insurance coverage

  You may not INCREASE your Post-Retirement Life Insurance coverage, but you may REDUCE it at any time.

  1. Log in to the member portal.
  2. From the dashboard, click the Post-Retirement Life Insurance Plan tile.
  3. Click on the orange Decrease or Cancel Coverage button.
  4. The system will automatically calculate your new premium amount.

  If you cannot access the member portal, please contact us.

• Check who is listed as my Life Insurance Plan beneficiary

  1. Log in to the member portal.
  2. From the dashboard, click the Life Insurance Plan tile.
  3. Look under the Beneficiaries tab.

  If your beneficiary shows as still pending it means we have not yet received your signed Beneficiary Declaration form. (We must receive the signed form to confirm your beneficiary.)

• Check who is listed as my Post-Retirement Life Insurance Plan beneficiary

  1. Log in to the member portal.
  2. From the dashboard, click the Post-Retirement Life Insurance Plan tile.
  3. Look under the Beneficiaries tab.

  If your beneficiary shows as still pending it means we have not yet received your signed Beneficiary Declaration form. (We must receive the signed form to confirm your beneficiary.)

• Change my Life Insurance Plan beneficiary

   

  If you are changing your beneficiary because of a recognized Life Event, please start by reporting the associated Life Event in the secure member portal.

  As you report the Life Event, the system will automatically make changes and prompt you when you have options, such as updating your Life Insurance beneficiary.

  If your beneficiary change is not related to a Life Event:

  1. Log in to the member portal.
  2. From the dashboard, click the Life Insurance Plan tile.
  3. Under the Beneficiaries tab, click on the orange Start New Beneficiary Declaration button and fill in the information. You may keep adding new beneficiaries until you are done.
  4. When you have entered all your beneficiaries, click the orange Submit Declaration button.

  THERE’S STILL ONE MORE IMPORTANT STEP!

  After you change your beneficiary in the member portal, you will receive a Life Insurance Beneficiary Declaration form in the mail. It is important that you confirm the information is correct, sign it in ink and mail it back to HEB Manitoba.

  Your last beneficiary on file (or your estate) will continue to be your Life Insurance beneficiary until we receive the NEW signed Beneficiary Declaration.

• Change my Post-Retirement Life Insurance Plan beneficiary

  If you are changing your beneficiary because of a change in relationship status, please start by reporting the associated Life Event.

  As you report the Life Event, the system will automatically make changes and prompt you when you have options, such as updating your Life Insurance beneficiary.

  If your beneficiary change is not related to a Life Event:

  1. Log in to the member portal.
  2. From the dashboard, click the Post-Retirement Life Insurance Plan tile.
  3. Under the Beneficiaries tab, click on the orange Start New Beneficiary Declaration button and fill in the information. You may keep adding new beneficiaries until you are done.
  4. When you have entered all your beneficiaries, click the orange Submit Declaration button.

  THERE’S STILL ONE MORE IMPORTANT STEP!

  After you change your beneficiary in the member portal, you will receive a Post-Retirement Life Insurance Beneficiary Declaration form in the mail. It is important that you confirm the information is correct, sign it in ink and mail it back to HEB Manitoba.

  Your last beneficiary on file (or your estate) will continue to be your Post-Retirement Life Insurance beneficiary until we receive the NEW signed Beneficiary Declaration.

  If you prefer a paper form or cannot access the member portal, please contact us.

• Change my Healthcare and/or Dental Plan coverage

  Plan rules determine when you are eligible to change your Healthcare or Dental Plan coverage.

  After a Recognized Life Event

  If your coverage is changing as the result of a recognized Life Event such as getting married or having a child, simply report the Life Event in the member portal.

  To get started, log in to the secure member portal and click the "Report Life Event" button at the top of the screen.

  As you walk through the process, the system will automatically update your coverage and alert you to any options available to you.

  The life event must be reported within 60 days or coverage restrictions may apply.

  After Gaining or Losing Alternate Coverage

  If you want to change your coverage because you have gained or lost alternate coverage,

  1. Log in to the member portal.
  2. Click the Healthcare Plan or Dental Plan tile on your dashboard.
  3. Click the Change Coverage button and follow the prompts.
  4. Remember to change coverage for both Plans if applicable.
     

  You must make the change within 60 days of gaining or losing alternate coverage or coverage restrictions may apply.

   

• Change my Retiree Healthcare Plan coverage

   

  Plan rules determine when you are eligible to change your Retiree Healthcare Plan coverage.

  Once you select a Retiree Healthcare Plan at retirement (Level 1 or Level 2), you cannot change it. You may only change within that level from Family to Single or Single to Family.

  After a Recognized Life Event

  If you want to change your coverage as the result of a recognized Life Event, simply report the Life Event in the member portal.

  Under the Retiree Healthcare Plan, recognized life events include:

  • Marriage/new common-law relationship
  • Separation/divorce
  • Gaining or losing a dependent child

  As you walk through the process, the system will automatically update your coverage and alert you to any options available to you.

  The life event must be reported within 60 days or coverage restrictions may apply.

  After gaining of losing alternate coverage

  If you want to enrol or temporarily waive because you have gained or lost alternate coverage:
  

  1. Log in to the member portal and click the Retiree Healthcare Plan tile on your dashboard.
  2. Click the Change Coverage button and follow the prompts.

  You must make the change within 60 days of gaining or losing alternate coverage.

• Access EAP Services

  Go to Manitoba Blue Cross to access wellness resources and EAP services.

• Submit a Healthcare or Dental claim to Manitoba Blue Cross (Including Retiree Healthcare claims)

   

  Go to Manitoba Blue Cross to make healthcare or dental claims or request an HSA amount.

  You can log in to mybluecross, download the app, or access forms.

• Request a replacement card for Healthcare, EAP, Dental or Retiree Healthcare

   

  Log in to your mybluecross portal to request a new card (or print one yourself) or call the Manitoba Blue Cross Call Center at 204-775-0151 or 1-888-596-1032 Monday to Friday from 8 am to 5:30 pm.

  For added convenience, you can also download the mybluecross companion app. Once you sign up, it will include a virtual card you can show your pharmacy, dental office, massage clinic, etc. 

• Access EAP Services

  Go to Manitoba Blue Cross to access wellness resources and EAP services.
